Privacy policy

Lottie is an AI phone receptionist for small businesses. This policy explains what we collect when you use calllottie.com and the receptionist service, why we collect it, who we share it with, and the choices you have.

What we collect

  • Account details. Your name, email address, and mobile number when you sign up, book a demo, or subscribe. Sign-in is handled by Clerk; if you use Google sign-in, Google shares your name, email and profile picture with us.
  • Business information. The website address you give us and the public pages we read from it, plus anything you tell the builder about your business: services, hours, prices, policies, and how you want calls handled.
  • Call data. Recordings, transcripts, caller phone numbers, and the notes, messages and bookings the receptionist takes during calls placed to or from your receptionist line, including demo calls.
  • Billing. Subscription and payment details are collected and stored by Stripe. We never see or store full card numbers.
  • Usage. Server logs, approximate location from IP address, browser type, and basic analytics about how the site and builder are used.

How we use it

  • To build, run and improve your receptionist, including answering callers using the information you and your website provide.
  • To place the demo call and any follow-up calls or texts you ask for, and to send you booking confirmations, messages from callers, and account emails.
  • To bill you, prevent abuse, keep the service secure, and meet legal obligations.
  • To contact you about your account, a demo you booked, or a call with our team that you requested.

We do not sell your personal information, and we do not use your call recordings or business content to train public AI models.

Who we share it with

We rely on service providers to run Lottie. Each only receives what it needs to do its job:

  • Retell AI and Twilio carry the phone calls and produce recordings and transcripts.
  • AI model providers, reached through Vercel AI Gateway, process call speech and chat messages to generate responses.
  • Clerk handles sign-in. Stripe handles payments. Resend sends email. Twilio sends text messages.
  • Vercel and Convex host the application and store your data.

We may also share information when the law requires it, to protect our rights or the safety of others, or as part of a business transfer.

Text messages (SMS)

When you give us your mobile number and agree to receive texts, we send transactional messages about your account: a one-time code to confirm your number, confirmations of demo calls and appointments, messages the receptionist took from callers, and texts a caller asks for during a call. Message frequency varies. Message and data rates may apply.

We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Your number is used only to send you these messages, through our messaging provider (Twilio), and is kept under the same rules as the rest of your account data.

You can opt out at any time by replying STOP to any message; you will get one final confirmation and nothing more. Reply HELP or email hello@calllottie.com for help. Full SMS terms are in our terms of service.

Callers

If you run a business that uses Lottie, you are responsible for telling your callers that calls may be answered by an AI assistant and recorded, where your local laws require it. The receptionist says it is an AI assistant when a caller asks.

Retention

We keep account and business information for as long as your account is active. Call recordings and transcripts are kept so you can review them, and deleted when you delete your receptionist or ask us to. Demo leads that never subscribe are deleted after 12 months. Billing records are kept as long as tax law requires.

Your choices

  • You can update or delete your receptionist, your business information, and your account from the builder, or by emailing us.
  • You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. We answer within 30 days.
  • You can opt out of marketing email with the unsubscribe link in any message. Account and billing emails still go out while you have an account.
  • California residents have the rights described in the CCPA, including the right to know, delete, and not be discriminated against for exercising those rights.

Security

Data moves over encrypted connections and is stored with providers that hold SOC 2 or equivalent certifications. Access inside our team is limited to what is needed to support you. No system is perfectly secure, so tell us right away if you think your account has been accessed without permission.

Children

Lottie is for businesses and is not directed at children under 16. We do not knowingly collect information from them.

Changes

When this policy changes in a meaningful way, we update the date above and email account holders. Continued use after that date means you accept the new policy.
